Your registration on an Icetrek trip begins here. There are a number of simple pages to complete, each containing important information to ensure you are set to go once we meet in the gateway town. You can come back any time to your registration to complete further pages, all you need is a password.

Icetrek reserves the right to make changes to the itinerary where required. Changes will only be made as an enhancement to the trip or when dictated by weather or other hazards. If you cannot accept any schedule changes, you must notify Icetrek in writing and the below penalties will apply.

We require a minimum non-refundable deposit payment of 20% of trip cost, USD$5000 or €5000 (whichever is greatest) together with a completed Registration Form. This deposit is to be wire transferred to Icetrek’s account (account details and currency are included on the pro-forma invoice). The balance to be paid no later than 120 days prior to departure. If a booking is accepted less than 120 days prior to departure, the full amount is payable on registration. A USD$20 or 20 Euro transfer fee is payable on each transaction. Prices quoted are based on group participation and no refunds will be made for any part of the program in which the clients choose not to participate. Icetrek will retain all monies paid should Icetrek find that a client’s application is fraudulent or grossly misleading and is justifiably denied participation prior to departure.

Advertised discounted prices are only applicable for payments received in full prior to October 1. Full or balance payments received after this date do not qualify for discounted prices. • Cancellation up to 90 days prior to trip start: full refund less €500 administration fee. • Cancellation within 90 days of trip departure: No refund is due, Icetrek will retain 100% of monies received. • Payments are non-transferable. • All requests for cancellation must be received in writing.

Cancellation 121 days or more prior to departure: Full refund less non-refundable deposit. • Cancellation 1 through 120 days prior to departure: No refund. 100% of expedition cost due. • If cancellation occurs within the 120-day period and full payment has not been received, the full payment shall still apply and unpaid monies are due immediately. Any monies already paid, will be retained by Icetrek. • All requests for cancellation must be received in writing.

Cancellation 121 days or more prior to departure: Full refund less non-refundable deposit. • Cancellation 1 through 120 days prior to departure: No refund. 100% of expedition cost due. • If cancellation occurs within the 120-day period and full payment has not been received, the full payment shall still apply and unpaid monies are due immediately. Any monies already paid, will be retained by Icetrek. • All requests for cancellation must be received in writing.

In the event that the trip is cancelled you will receive a refund within 14 days of the cancellation, less an administration fee of up to US$1200 or €1000. However Icetrek will not be liable for any other expenses incurred, including expenses relating to insurance premiums, scheduled flights, transit accommodation, equipment purchases and employment.

You will be required to complete, sign and return a number of Icetrek and/or other service provider’s forms, including: • Registration Form • Terms and Conditions • Release of Liability/Waiver • Medical Information Form • Personal Information • Summary of Experience • Copy of Medical and Evacuation Insurance Policy • A scan of your passport

You will be required to purchase medical evacuation cover. Check trip information for coverage required. We can assist you in finding the correct policy and on some trips offer medical evacuation insurance for purchase. We also urge you to take out Cancellation and Interruption insurance as well as general travel insurance.
